We only hold your information when we have a good reason to do so, whether that is when you visit our website, submit an enquiry, decide to rent or work with us, or when you are a tenant or employee.

When you visit our website

Our website uses cookies and other online identifiers, such as IP addresses and device information. These help us to understand how you interact with our site and improve your online experience. When you ask us a question

When you submit an enquiry, you give us your name, email address and telephone number. We hold this information so that we can get in contact with you and, if you choose, so that we can send you updates and promotions.

We use the information you provide to respond to your enquiry, to advise on appropriate homes for you, and to help us to perform our contract with you.

If you choose to subscribe to our mailing list or to receive other marketing materials or promotions, we process your information for our legitimate business interest. You can opt out of the mailing list by unsubscribing at any time.

We partner and collaborate with other organisations to deliver our service to you. Some of the organisations which we receive information from or share information with are Rightmove, OnTheMarket, Hubspot, Office RND, and Webflow.

When you raise an enquiry through a platform (e.g. Rightmove, On The Market, Hubspot or Spike), they will store the information you provide and members of our team who need this information will access it, using a secure login.

When you decide to join the Ollo community

When you decide to rent with us and be a part of the Ollo community, we will ask you for the information we need in order to rent to you. This will include additional contact information, such as your home address. We will also ask you for identification information to confirm your right to rent and suitability, including a copy of your passport, your share code and information needed for referencing checks. This may include information on where you live or have lived and where you work or have worked. We do this in order to perform our legal and contractual obligations both to you and others.

In order to rent to you, we will receive information from and share information with third parties, including Spike, HomeLet, other companies in our group and the relevant governmental agencies.

The reasons we ask you for that information and the reasons for sharing it are to enable us to perform our contract with you and with others and to comply with our obligations under the law.

When you are a part of our community

Once you have become a part of our community, we will continue to hold and use the personal information we collect to continue to perform and improve our service to you and also to comply with our contractual and legal obligations.

To help you with your move, we will pass your contact details and your new property address to Helpthemove, so that they can help you set up your bills hassle-free. They will pass your information to utility providers and the local authority.

If you pay a deposit, we will also pass your information to the Tenancy Deposit Scheme in accordance with the law.

We will keep your information for as long as we are legally or contractually required to do soor when there is another reason we need to do so. We aim to keep this safe and accurate and you can contact us to raise any concerns or to correct inaccurate information.

When you are a part of our team

When you decide to work with us and be a part of Team Ollo, we will ask you for the information we need in order to rent to you. This will include additional contact information, such as your phone number, email and home address. We will also ask you for identification information to confirm your right to work and suitability, including a copy of your passport, and information needed for referencing checks. This may include information on where you live or have lived and where you work or have worked. We do this in order to perform our legal and contractual obligations both to you and others.

In order to perform our duties as an employer and to you, we will share information with other companies in our group, third parties (including HR and payroll providers and the relevant governmental agencies.

The reasons we ask you for that information and the reasons for sharing it are to enable us to perform our contract with you and with others and to comply with our obligations under the law.

CCTV

We use CCTV on some of our sites for the safety and security of all on our premises. This is to help us perform our contract with you, with other parties and for legitimate business purposes.  We keep this data secure, and it is generally deleted after 28 days, unless there is a good reason to hold it for longer.

Other

In order to fulfil our contract to you or to others and for our legitimate business interests, we may pass your information to other business partners, suppliers and subcontractors.

There may be other circumstances where may disclose your personal information to third parties. If we sell or buy any business or part of it, we may disclose your personal data to the expected seller or buyer. If we or our assets are acquired by someone else, personal data held by us about you may be transferred. If we are under a duty to disclose or share your personal data to comply with the law, to apply our Terms of Use or other agreements, or to protect the rights, property, or safety of our team, customers or others.

Your right of access - You have the right to ask us for copies of your personal information we hold about you.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
